How FaidaPOS
handles information.

This draft explains the information FaidaPOS collects, why we use it, and the controls available to businesses and users. It is meant to be clear, practical, and easy to update.

1. Information we collect

We collect the information needed to provide FaidaPOS to businesses, staff, and authorised users. This may include account details such as name, email address, phone number, business name, store location, role, and login activity.

When you use the product, we may process business data such as products, inventory records, sales, receipts, customers, suppliers, staff actions, tax settings, payment references, support messages, and device or terminal information.

Our website may collect basic technical information such as browser type, pages visited, referring pages, approximate location, and device identifiers to help us understand performance and improve the site.

2. How we use information

We use information to create and manage accounts, provide point-of-sale, inventory, reporting, billing, support, onboarding, security, and synchronisation features.

We also use information to detect abuse, troubleshoot issues, improve the service, communicate product updates, send transactional messages, comply with legal obligations, and protect FaidaPOS, our customers, and the public.

3. Payments and M-Pesa data

FaidaPOS may integrate with payment providers such as M-Pesa, KopoKopo, banks, card processors, or other payment partners chosen by a business. We process payment references, confirmation status, transaction amounts, timestamps, till or paybill identifiers, and reconciliation details so that sales can be completed and matched correctly.

We do not intend to store customer payment PINs, full card numbers, or mobile money credentials. Payment providers process those details under their own privacy and security terms.

4. How we share information

We do not sell personal information. We may share information with service providers that help us operate FaidaPOS, including hosting, database, analytics, authentication, messaging, email, payments, customer support, and security providers.

We may disclose information when required by law, regulation, court order, tax authority, payment network rule, or to protect the rights, safety, and security of FaidaPOS, our customers, users, and others.

5. Business account controls

A business owner or administrator controls the business workspace and may invite staff, assign roles, review activity logs, export records, update settings, and remove users. Staff should contact their business administrator first for access or correction requests related to a business account.

If a business asks us to support, export, correct, or delete data, we may need to verify that the requester is authorised to act for that business.

6. Data retention

We keep information for as long as needed to provide the service, meet legal, accounting, tax, audit, dispute-resolution, and security obligations, and maintain reliable backups. Some records, such as receipts, sales history, payment references, and audit logs, may need to be retained after an account is closed.

When information is no longer needed, we will delete it, anonymise it, or restrict access according to our operational and legal requirements.

7. Security

We use administrative, technical, and organisational safeguards designed to protect information from unauthorised access, loss, misuse, alteration, or disclosure. These safeguards may include access controls, encryption, logging, backups, monitoring, and role-based permissions.

No online service can guarantee absolute security. Customers are responsible for protecting account credentials, limiting staff access to what is necessary, and promptly telling us about suspected unauthorised access.

8. Cookies and similar technologies

Our website and app may use cookies, local storage, device storage, and similar technologies to keep users signed in, remember preferences, improve performance, measure usage, and protect the service from abuse.

You can control some cookies through your browser settings, but disabling them may affect sign-in, security, or product functionality.

9. Your choices and rights

Depending on your location and relationship with FaidaPOS, you may have rights to access, correct, export, restrict, object to, or request deletion of personal information. We will respond to valid requests as required by applicable law.

Because FaidaPOS is used by businesses, some requests about sales, staff, customer, or operational records may need to be handled by the business that controls the account.

10. Changes to this policy

We may update this Privacy Policy as our product, legal obligations, or business operations change. If changes are material, we will take reasonable steps to notify customers, such as posting an updated policy or sending an account notification.
